We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs, and managing our company\xe2\x80\x99s general administrative activities.

We are looking for a Data Entry Clerk to type information into our database from paper documents. The ideal candidate will be computer savvy and a fast typist with a keen eye for detail. You will report to a data manager or another senior data team member. Understanding of data confidentiality principles is compulsory.

The company will rely on you for having accurate and updated data that are easily accessible through a digital database.

What does an Administrative Assistant do?

Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you also have previous experience as a Secretary or Executive Administrative Assistant and familiarity within our industry, we\xe2\x80\x99d like to meet you.

Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.

Responsibilities

Plan meetings and take detailed minutes
Write and distribute email, correspondence memos, letters, faxes, and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Maintain contact lists
Book travel arrangements
Submit and reconcile expense reports
Provide general support to visitors
Act as the point of contact for internal and external clients
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
Transfer data from paper formats into computer files or database systems using keyboards, data recorders or optical scanners
Type in data provided directly from customers
Create spreadsheets with large numbers of figures without mistakes
Verify data by comparing it to source documents
Update existing data
Retrieve data from the database or electronic files as requested
Perform regular backups to ensure data preservation
Sort and organize paperwork after entering data to ensure it is not lost

Requirements

Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Basic skill in MS Office (MS Excel and MS PowerPoint, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Proven experience as data entry clerk
Fast typing skills; Knowledge of touch typing system is strongly preferred
Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel, etc.)
Working knowledge of office equipment and computer hardware and peripheral devices
Basic understanding of databases
Good command of English both oral and written and customer service skills
Great attention to detail
High school degree or equivalent
