JOB SUMMARY
Reporting to the Manager, Corporate Services, the Internal Controls Specialist is responsible for reviewing, recommending, and ensuring financial policies and practices are in compliance with all internal and external requirements for the organization.
KEY RESPONSIBILITIES
Note: Percentages refer to approximate % of time spent on each area, over the course of a given year
INTERNAL AUDIT (70%)
Develop and maintain essential internal controls through conducting risk assessments to ensure appropriate use of the organization's resources. Specific areas of focus include:
+ Regular updating of financial policies and procedures to reflect business needs and externally imposed requirements
+ Continuous review of financial records to ensure that the organization's policies and procedures are being followed
+ Review compliance with externally imposed agreements/directives/legislation
+ Review compliance with internal quality management policies Maintain organization's policies to ensure compliance with relevant legislation and accounting standards.
Review of employee expenses, accounts payable, purchasing, and credit cards transactions for compliance with policies and procedures, and provide written reports on findings/observations, analysis and recommendations to the CFO/Committees of Board/Board of Directors.
Other monthly responsibilities include:
Provide Continuous Quality Improvement (CQI) recommendations on issues and findings
Provide training and coaching to organization through orientation to company policies, procedures, best practices and lessons learned
Ensure that goods and services procurement are properly defined, approved, documented, and are procured in accordance with relevant directives and policies
Ensure that where goods and services are procured without competitive process follow the appropriate procedures and approval guidelines
Ensure that travel, meals and hospitality related expenses are reimbursed in accordance with relevant directives and policies
Review supporting documentation to verify the accuracy and compliance of revenue recognition practices
Review supporting documentation to verify the accuracy and compliance with transfer payment agreement terms
Comply with Ministry of Labour, Immigration, Training and Skills Development (MLITSD) financial reporting requirements
Mitigate financial risks by ensuring that recommendations contained in various audits are in full compliance.
EXTERNAL AUDIT
(20%)
Prepare working papers for year-end audit or any government audit as assigned. Ensure content of working papers are in accordance with the Generally Accepted Accounting Principles (GAAP) and in compliance with the relevant directives and regulatory requirements.
BOARD OF DIRECTORS (10%)
Assist with preparation of Board of Directors and Audit, Finance and Technology Committee meeting packages including the quarterly MLITSD reporting.
CONTRIBUTES TO A HEALTHY AND SAFE WORK ENVIRONMENT (at all times)
Adhere to WSPS policies, procedures, process fact sheets, guidelines and business rules.
Contribute to the promotion of a healthy & safe culture through modelling and following WSPS health, safety and wellness policies and practices.
Act as a role model internally and externally by demonstrating knowledge of health and safety and wellness practices, weighing options for sound risk management decision making
Skills and Experience
Minimum:
Post-Secondary University/College degree/diploma in Accounting or related program
3-5 years of progressive Accounting and/or Audit (Internal /External) experience
Firm understanding and knowledge of individual and integrated financial modules including Accounts payable, Accounts receivable, General Ledger and Payroll
Excellent written and verbal communication skills
Excellent organizational skills and ability to consistently to meet deadlines
Ability to effectively communicate financial information to all levels of the organization
Ability to work independently with minimal supervision
Proficient in Microsoft office programs
Proven ability to proactively identify situations that require action to be taken or decisions to be made
Ability to handle sensitive information in strictest confidence
Preferred:
Professional Accounting Designation equivalent education and experience
Experience with virtual delivery platforms (e.g., Adobe Connect, MS Teams, Zoom, etc.
Experience with Learning Management Systems considered an asset.
Formal training and experience in occupational health and safety considered an asset.
Additional Requirements:
Candidates are required to reside in the Greater Toronto Area, maintain a private and safe workspace and have a high-quality internet connection.
Candidates are expected to work onsite at the Mississauga office once a week.
An all-employee meeting (Staff Days or equivalent) will be organized annually. All employees are required to attend the annual meeting in person. Occasional team meetings may be required in person.*
