Duties and Responsibilities:





The Administrative Assistant provides essential support to the Dean of Education and the Faculty of Education. Collaborating closely with the Dean, faculty, staff, and students, the role involves overseeing curricular, administrative, and organizational tasks. The Administrative Assistant oversees the Faculty Office support staff and assists both current and prospective students with registration, academic program inquiries, and general questions. Additional responsibilities include allocating expenses, preparing journal vouchers and maintaining multiple budget lines for the Faculty of Education; preparing agendas, recording minutes and completing necessary follow-up for Faculty meetings; preparing Contract Academic staff (CAS) contracts and the associated responsibilities related to those contracts; supporting the Dean with interpretation of the various collective agreements under which the Faculty has members; assisting with course timetabling, preparing workloads; liaising with other departments on campus; overseeing building maintenance and repairs; providing statistical reports as required; maintaining Faculty webpages, and other related duties as assigned.


Required Qualifications and Experience:





The successful candidate must possess a 3-4 year post-secondary degree plus a minimum of 3 years related office management or business administration experience, or a comparable combination of education and experience. Experience working in a post-secondary or a public sector environment is considered an asset.



To be successful in this administrative role, the ideal candidate must demonstrate exceptional interpersonal skills and the ability to maintain an effective and collaborative work environment; excellent organizational skills; outstanding time management skills along with the ability to resolve competing priorities are necessary skills for this position. Along with excellent judgment, candidates must be able to multitask in a fast-paced environment and demonstrate very strong written and verbal communication skills. As administrative support to the Dean, preserving confidentiality is crucial as this position handles sensitive information. Working with and understanding various collective agreements is vital. Attention to detail is essential. The successful candidate must be experienced in budget management, Microsoft Office, WordPress, and possess the acumen to work with various programs and databases.


NOTE
