Application Due Date: Sunday, November 19, 2023 Position Summary This position is responsible for providing first point of contact for the Municipality in
person, by phone and email by providing exceptional customer service to the public
and internally in alignment with the Customer Service Standards Policy. This
position coordinates the initial response, resolution and redirection of all incoming
telephone inquiries, emails, mail, and resident submissions to the municipal
website. This position provides community information, processes payments,
provides internal administrative support and assists in the coordination of licensing
and commissioning. Role Specific Duties and Responsibilities Customer Service 1. Act as primary contact person for the Municipality in providing customer
service skills via counter, e-mail or telephone by responding to
inquiries/complaints; performing initial screening, redirecting calls, and case
management through the Municipality\xe2\x80\x99s Customer Service Request
Management system. 2. Maintain and promote the public image and public relations aspect of the
Municipality with integrity, professionalism and sincerity when dealing with all
matters, ensuring confidentiality is maintained. 3. Assist with all external and internal inquiries with regard to taxes, water,
financial records, general by-law matters such as ticket appeals, and other
inquiries including general information, Council and Committee information,
compost and recycling, and the sale of garbage bag tag and dog tags. 4. Provides input to assist in the development, implementation and review of
customer service policies, procedures and guidelines. Corporate Administration & Vital Statistics 5. Prepare routine reports based on identified metrics including maintaining call
records and resident service request reporting.

6. Perform cashier functions such as accepting, balancing and processing
payments for tax and water payments, and general receipts involving cash
handling and balancing a cash drawer. 7. Perform administrative functions and provide assistance to multiple
departments during peak times, the duties of which include but are not
limited to: a. Accepting general permits; b. organizing courier contact and document pickup; c. maintaining confidentiality and confidential municipal records; d. assisting with circulations, notices/letters, mass mailings and billings
as required; e. receiving and date stamping tender documents; f. coordinating appointments for commission signatures, marriage
licenses, and civil ceremonies; g. acting as a commissioner of oaths; h. handling, processing, and recording vital statistics information such as
burial permits; and i. providing community information. General Office & Financial Support 8. General office support including shipping and receiving, distributing mail and
courier packages, photocopying, maintaining office supplies. 9. Coordinates the purchase of corporate office supplies for all departments,
including corporate stationary and copier ink. 10.Arranges for required office maintenance of machinery such as mail
machines, folding machines, printers and copiers. 11.Prepares, edits and formats a variety of documents while ensuring that the
Corporation\xe2\x80\x99s accessibility standards are met. 12.Assists the Finance division with the deposit and scanning of all daily cheques
received. 13.Assists the Finance division with the processing of daily bank files where
required. 14.Assists the Finance division with other financial processes where required. General Duties and Accountabilities 1. Provides a high standard of customer service while responding to inquiries
and resolving complaints from the public.

2. Maintains a high degree of confidentiality and security of information at all
times. 3. Work in compliance with the Occupational Health and Safety Act, and other
applicable legislation, department policies/procedures/practices, operational
guidelines, and perform safe work practices. 4. Perform other duties as may be assigned in accordance with department and
corporate objectives. Required Certifications and/or Health and Safety Requirements 1. None. Education, Skills and Experience 1. OSSD required, plus business or administrative courses; diploma in Business,
Administration, or related discipline preferred. 2. 2 years\xe2\x80\x99 related customer service experience, preferably in a municipal
environment, with significant experience in cash handling. 3. Thorough working knowledge of Microsoft Windows and Office applications,
as well as general office equipment; experience with ForeAction or a similar
Customer Relations Management system would be an asset. 4. Excellent interpersonal skills with strong skills in communication (written,
oral, and interpersonal), organization, public relations, customer service, and
time management. Possess a friendly, positive, and outgoing personality. 5. Ability to maintain confidentiality, be tactful in all dealings with sensitive
matters, and be self-motivated. 6. Ability to multi-task, to work with frequent interruptions, and to display
common sense and patience in all dealings. Physical Demands and Working Conditions

  • Physical demands include considerable sitting and computer usage. Working
conditions are in a standard office environment with exposure to verbal
criticism from the public.
  • Normal hours of work are 35 hours per week, Monday through Friday; may
be required to attend occasional evening meetings or commitments. Contacts and Interactions
  • Communicates regularly with municipal staff, residents, community groups,
and the public.
